SERVICE 03 · WORKFLOW AUTOMATION
Fewer repetitive handoffs between the tools you already use.
Workflow automation connects your existing software so routine steps happen the same way every time, through triggers, rules and actions you have agreed. Your team keeps the decisions. The software handles the copying, reminding and routing.

WHO IT IS FOR
Teams doing the same manual steps every day.
This service suits home service and professional service businesses where requests, follow-ups and records pass between people and tools by hand: an inbox, a spreadsheet, a calendar, a CRM or accounting software. It works best when the process is already understood well enough to write down.
PROBLEMS WE ADDRESS
Where manual handoffs cost time.
Requests that sit unseen
Inquiries land in one place and nobody is clearly responsible for the next step.
Forgotten follow-ups
Reminders live in someone’s memory or on sticky notes.
Re-typing the same data
Details are copied between tools, which takes time and invites mistakes.
Reporting by hand
Weekly numbers are assembled manually from several sources.
INTERACTIVE FLIGHT PATH
Follow one inquiry through the workflow.
Choose a scenario to see the route it takes, who owns the next step and where a person reviews. This is an illustrative demonstration. It sends no messages, changes no records and promises no business outcome.
Concept demonstration
Normal request
A complete inquiry arrives and moves through the agreed steps.
- Next owner
- The assigned team member.
- Where a person reviews
- The owner reviews every reply before it is sent.
Common automations
Invented examples of the kind of automation we scope. Actual scope depends on your tools and processes.
Inquiry capture and routing
When a website form is submitted, the details are added to a shared queue and assigned to the person responsible, according to rules such as service type or area.
Follow-up reminders
If an inquiry has no recorded response after an agreed period, the assigned person receives a reminder.
Client onboarding tasks
When a client is marked as accepted, a checklist of onboarding tasks is created and assigned.
Approved record updates
A status change in one tool updates the matching field in another, only for the fields you approve.
Reporting
Counts from your tools are compiled into a regular summary for the owner.
DELIVERABLES, SUBJECT TO SCOPE
What an automation engagement can include.
- Process mapping that documents how work moves today and where handoffs occur.
- Agreed triggers, rules and actions written down so everyone knows what will happen and when.
- Scoped integrations between specific tools, limited to what has been agreed.
- Exception handling for failed steps, missing data and cases that need a person.
- Duplicate prevention so the same inquiry or record is not created twice.
- Testing with sample data before anything touches live records.
- Documentation and team handoff so your people can understand, pause and adjust the workflow.
HOW WE WORK TOGETHER
What we need from you, and what you keep.
Work follows the same three delivery stages as every Aligents service. Scope, price and responsibilities are agreed in writing before work begins.
What you provide
- A list of the tools involved and the access needed, granted at the level agreed.
- A description of how the process works now, including the exceptions.
- Decisions about who is responsible for each step and what needs approval.
- Sample, non-sensitive data for testing wherever possible.
Process: discovery to handoff
- DiscoveryWe look at one workflow worth improving, often beginning with the Pre-Flight Assessment.
- Process mapping and requirementsWe document the steps, owners, triggers, rules and exceptions.
- Design and architectureWe choose how the tools connect and where approvals sit.
- Build and testingWe build to the agreed scope and test normal cases, failures and duplicates.
- Handoff and supportYour team receives documentation. Monitoring and changes can be scoped as Flight Deck Support.
Ownership, costs and maintenance
Your tool accounts remain yours, and workflow documentation is handed to you. Automation platforms and connected tools usually have recurring vendor costs, which we identify before work begins. Workflows also need maintenance, because tools change their settings, connections expire and your process evolves. Cost depends on the number of tools, the complexity of the rules and the support you want. We do not promise savings.
RULES OR AI?
Automation and AI agents are different things.
| Rules-based automation | AI agent | |
|---|---|---|
| How it decides | Fixed rules you have agreed. | Interprets language within set limits. |
| Predictability | Same input, same result. | Output can vary and needs review. |
| Best for | Routing, reminders, record updates. | Reading and drafting text. |
AI is optional. We add it only where it helps, for example an agent that drafts a reply for a person to review. Automation does not make commitments to customers on its own.
WORKING WITH THE OTHER SERVICES
Stands alone, connects well.
Automation can be built around the tools you have today. If you also need a better entry point, a website inquiry path can feed it. If you want drafting help, an AI agent can sit alongside it. None of these is required for the others.
QUESTIONS
Workflow automation questions.
Do I need new software?
Often not. We start from the software you have. Compatibility depends on what each tool allows, and we cannot promise it will work with every tool, so we check before scoping.
What happens when an automation fails?
We design for failure: errors are logged, the right person is notified and the item is held for manual handling rather than silently lost.
Can I approve steps before they happen?
Yes. Approvals can be built in, so a person confirms an action before it happens. This is the default for anything that affects customers.
Will it message my customers on its own?
Not unless that behavior is separately scoped and you authorize it. By default, automations notify your team and leave customer communication to people.
Will it save me money?
It may reduce repetitive work, but we do not guarantee savings. Vendor costs and maintenance time are part of the picture.
Who supports it after launch?
Your team receives documentation. Ongoing monitoring and changes can be agreed as Flight Deck Support or handled by your own staff.
